💼 Business Expenses Overview
Add and track non-employee business expenses — stock purchases, rent, utilities, marketing, and more. Use it to record, categorize, approve, and report on your operational costs.
Navigate to Business Expenses from the main menu.

Page Controls
| Control | Description |
|---|---|
| View Report | Link on the left — navigate to the Business Expenses accounting report |
| From / To date pickers | Select the date range to load expenses (e.g., 01-04-2025 to 31-03-2026) |
| All Categories dropdown | Filter by expense category |
| Generate button | Load expenses for the selected filters |
| + Add Expense | Open the form to record a new expense (top right) |
| Export | Download the filtered expenses as a CSV file |
Select your date range and filters, then click Generate to load the matching expenses.
Summary Cards
After clicking Generate, five summary cards appear:
| Card | What It Shows |
|---|---|
| Total Expenses | Grand total amount (₹) and record count for the period |
| Approved | Total approved amount (₹) and count of approved expenses |
| Pending | Total pending amount (₹) and count of pending expenses |
| Rejected | Total rejected amount (₹) and count of rejected expenses |
| Stock / Materials | Total amount (₹) and count of Stock Purchase and Raw Materials expenses |
Expenses Table
The table is headed by EXPENSES with a count of records (e.g., "EXPENSES (5)").

| Description | What the expense is for |
| Vendor | Vendor or supplier name |
| Payment | Payment method used (e.g., Credit Card, Cash, UPI, Online, Bank Transfer) |
| Amount | Base amount before tax (₹) |
| Tax | Tax amount (₹) |
| Total | Total amount = Amount + Tax (₹) |
| Status | Approval status badge (Pending, Approved, Rejected) |
| Actions | Approve (✓) / Reject (✗) buttons |
Row Actions
| Button | Action | Condition |
|---|---|---|
| ✓ (Approve) | Approve the expense | Shown when status is not Approved |
| ✗ (Reject) | Reject the expense | Shown when status is not Rejected |
Once an expense is Approved, a checkmark (✓) is displayed instead of action buttons.
Expense Statuses
| Status | Description |

| Pending | Recorded but not yet reviewed |
| Approved | Reviewed and approved |
| Rejected | Reviewed and rejected |
Expense Categories
| Category | Description |
|---|---|
| Stock Purchase | Purchase of inventory or resale goods |
| Raw Materials | Purchase of materials used in production |
| Equipment | Machinery, tools, or capital equipment |
| Office Supplies | Stationery and office consumables |
| Utilities | Electricity, water, internet bills |
| Rent | Office, warehouse, or shop rent |
| Marketing | Advertising and promotional expenses |
| Maintenance | Repairs and upkeep costs |
| Communication | Phone, courier, and communication costs |
| Travel | Transportation and travel expenses |
| Salaries | Staff salary payments |
| Other | Any other business expense |
Export
Click Export to download all filtered expenses as a CSV file. The file includes: Date, Category, Description, Vendor, Payment Method, Amount, Tax, Total, and Status columns.
