Employee Expenses
Track and manage employee expense requests. The Expenses page lets employees submit expense claims and managers approve or reject them.
Navigate to Employee Management → Expenses from the sidebar.

Page Controls
| Control | Description |
|---|---|
| From | Start date for the reporting period (DD-MM-YYYY) |
| To | End date for the reporting period (DD-MM-YYYY) |
| All Status dropdown | Filter by status — All Status, Pending, Approved, Rejected |
| Generate | Load expenses for the selected filters |
| + Add Expense | Submit a new expense claim (top right) |
Summary Cards
Three summary cards are displayed at the top:
| Card | Description |
|---|---|
| Total Expenses | Total expense amount across all employees (₹) with record count |
| Pending Approval | Count of expense claims awaiting review |
| Approved | Count of approved expense claims |
Expenses Table
The table header shows the record count (e.g., "EXPENSES (5)").

| Date | Date of the expense |
| Employee | Employee who submitted the expense (with profile avatar) |
| Category | Expense category badge — color-coded (e.g., Training, Supplier, Travel, Food) |
| Description | What the expense is for (e.g., "Tally ERP certification course", "Warehouse packing materials", "Sales meeting - local cab expenses") |
| Amount | Expense amount (₹) |
| Status | Approval status badge — Pending (orange), Approved (green), Rejected (red) |
| Actions | Approve (✓) and Reject (✗) buttons, or edit/view icons |
Submitting an Expense
Click + Add Expense (top right) to open the expense form. See Adding an Employee Expense for the complete form guide with all fields.
Approving / Rejecting Expenses
Managers and admins can approve or reject submitted expenses directly from the Actions column:

|---|---|
| ✓ (Approve) | Approve the expense for reimbursement |
| ✗ (Reject) | Reject the expense claim |
How to Use
- Navigate to Expenses from the sidebar
- Set the From and To dates to define the period
- Optionally filter by Status (Pending, Approved, Rejected)
- Click Generate to load the expenses
- Review the summary cards for a quick overview
- Use the table to view individual expense details
- Approve or reject pending expenses using the action buttons
- Click + Add Expense to submit a new claim
